The Best AI for Small Business Is the One That Works in Gmail, Drive and Notion

A small business doesn't need a stack of AI tools. It needs one AI chat that can read the client's email, find the quote in Google Drive and update the project in Notion. Here's what Gemini, ChatGPT, Claude, Notion AI and izzedo can each do in those three apps, what they ask before changing anything, and what they cost a team of three.

The Best AI for Small Business Is the One That Works in Gmail, Drive and Notion

In most small businesses someone does the same job by hand ten times a week. Find the client's last email, open the quote in Google Drive, answer the question, then update the project page in Notion so everyone else knows. An AI worth paying for is one that can do that job.

That narrows the choice fast. The AI has to reach all three apps, do more than search them, and ask before it sends anything in your name. This post compares the five a business on Gmail, Drive and Notion is most likely to weigh: Gemini through Google Workspace, ChatGPT, Claude, Notion AI and izzedo chat. For each one it covers what the AI can do in those three apps, who has to set it up, and what it costs.

I read each company's pricing page, help centre and recent release notes on 3 November 2026. Prices are US list prices.

The Short Answer

Option Gmail Google Drive Notion Models Price
Gemini in Workspace Built in: drafts, replies, summaries Built in from Business Standard No Google's In your plan: $7 a user for Gmail, $14 for Drive too (yearly)
ChatGPT Plus, Business Reads, drafts, sends once you choose to Searches, reads, creates, edits, shares Notion's app searches and reads. Edits vary OpenAI's $20. Business $25 a seat, or $20 yearly
Claude Pro, Team Reads, drafts, sends after you approve Searches, reads, uploads, shares after you approve Notion's connector searches, creates, edits Anthropic's $20, or $17 yearly. Team $25 a seat, or $20 yearly
Notion AI (Business) Searches. The agent drafts and sends Searches only, set up by a Google admin Built in GPT, Claude, Gemini, Grok and others $24 a seat, or $20 yearly
izzedo chat Reads, drafts in the thread, sends after you approve Finds, reads, creates, uploads, shares Searches, creates pages, adds database rows OpenAI, Anthropic, Google, xAI, DeepSeek and more Free. $6 or $12 a person. Team $15 a user, or $12 yearly

If Notion is where your business runs and you're ready for its Business plan, use Notion AI. If you live in Gmail and open Notion now and then, use the Gemini that comes with your Workspace plan. If you want all three apps and more than one company's models without paying $20 to $25 a seat, start with izzedo's free plan. Of the single-company options, Claude is the careful one. It asks before it sends or shares anything unless you change that.

The Test: One Job Across Three Apps

Here's the kind of request that sorts these tools. A client emails to ask whether the revised quote covers the extra week of work. To answer, someone finds the thread in Gmail, opens the latest quote in Drive, checks it, replies, and adds a note to the client's page in Notion.

That one job needs four abilities. The AI has to read Gmail and draft the reply inside the client's thread, not as a new email. It has to find the quote in Drive and read it, which is harder with spreadsheets and PDFs than with Google Docs. It has to write to Notion, either a page update or a new row in a projects database. And it has to stop and ask before the reply goes out, because a draft costs nothing and a wrong email to a client costs a lot.

Searching is the easy part now. Every option here can search at least two of the three apps. What differs is how many of them it can change, which plan that takes, and who has to switch it on.

The Options, One by One

Gemini in Google Workspace: Built Into Gmail and Drive, Not Notion

If your business email runs on Google Workspace, you already pay for some Gemini. Google's pricing page lists "Gemini AI assistant in Gmail" on Business Starter, $7 a user a month on a yearly plan or $8.40 month to month. In Gmail it drafts and rewrites replies with Help me write, summarises long threads in the side panel, and, in Google's words, "proactively takes details from your other emails and Drive files" when it drafts.

Drive is one tier up. Gemini in Drive, Docs and Sheets starts at Business Standard, $14 a user a month yearly or $16.80 monthly. There you can open a folder, click Ask Gemini, and question every file in it at once. For a business with years of quotes and proposals in Drive, that's the most useful single feature in this post.

Notion is where it stops. Notion isn't among the Gemini app's connected apps, and it isn't on the short list of connectors Google offers for Gemini in Workspace, which has GitHub, Salesforce, Asana, HubSpot, Slack and a few more. Google does have a Notion connector, in Gemini Enterprise, a product Google calls "Completely distinct from the Gemini app and consumer subscriptions". It starts at $21 a seat a month, so reaching Notion means a second AI subscription.

Gemini in Workspace runs Google's models only. Google's pricing page says "your company data is not used to train models". The full price ladder is in how much Gemini costs.

Pick it if most of your day happens in Gmail and Notion is somewhere you visit rather than where the work lives.

ChatGPT: All Three Apps, OpenAI's Models Only

ChatGPT reaches all three. OpenAI builds its own Gmail and Google Drive apps, and the Notion app is Notion's, running on Notion's server. OpenAI's listing says the Gmail app can "summarize inbox activity, draft replies, and organize email threads". Since June it can send as well: "ChatGPT will create a draft and you can choose to send it without leaving ChatGPT", on the web, for Plus, Pro, Business and Enterprise. The Drive app searches and reads Docs, Sheets and Slides and can create, update, move, share or delete files, and OpenAI says "ChatGPT may ask you to confirm an action before carrying it out."

Notion is the thinnest of the three. OpenAI's help page says the app lets ChatGPT "search and read content from Notion pages", and that it "may be able to create or update Notion pages, depending on the app or plugin, your connected account's permissions, workspace settings, and required approvals."

Two things are worth checking before you connect anything. OpenAI doesn't publish a plan-by-plan list for these apps: "App availability depends on the app, your ChatGPT plan, region, workspace, role, model, and the ChatGPT interface you use." And on personal accounts the default permission is "Allow low-risk actions", so ChatGPT approves some actions without asking. OpenAI counts sending an email and creating or editing a file as higher-risk, which "may require confirmation or be denied". If you'd rather approve every read too, the setting you want is "Always ask".

Training depends on the plan and the app. On Plus, OpenAI may train on your chats unless you switch it off, but it says it never trains on data read from connected Google apps. Data from other apps, Notion included, can be used on Free, Go, Plus and Pro "if your 'Improve the model for everyone' setting is on". Business doesn't train on workspace data by default.

Plus costs $20 a month and is billed monthly only. Business costs $25 a seat a month, or $20 billed yearly, and usually needs two seats, though OpenAI says "Some new workspaces can start with 1 paid Standard or Premium seat if checkout offers that option." Whether Plus or Business suits a small team mostly comes down to who owns the chat history.

Claude: All Three Apps, and It Asks First

Claude's Gmail, Calendar and Drive connectors are made by Google, and its Notion connector by Notion. Anthropic's help centre, updated on 30 October, says the Google ones are "available for all users on Claude and Claude Desktop". In Gmail, Claude can search, read and draft, and it can "Send, reply to, and forward emails from Gmail. By default, Claude asks for your approval before each of these actions." In Drive it searches and reads Docs, Sheets, Slides, PDFs and Office files, uploads files, creates folders, and can share, move or trash files, again asking first by default. Anthropic's developer page for the Gmail connector still calls it read-only and Pro-and-up. The help centre is the newer of the two.

There are gaps. Claude can't read what's inside Gmail attachments, and from Drive files it reads the text but not the images.

The Notion connector lets Claude "create, edit, search and organize content directly from Claude", with tools for creating and updating pages and databases.

On the Team plan an owner switches connectors on before anyone can use them, and each member then signs in with their own account. Owners can also limit what a connector may do for everyone. Anthropic's own example: "Allow Claude to search and summarize email, but prevent it from sending messages."

Anthropic says it doesn't train its models on Gmail, Drive or Calendar connector data. Chats on Free, Pro and Max can be used for training unless you opt out, and Team is off by default.

Pro costs $20 a month, or $17 a month paid yearly. Team costs $25 a seat a month, or $20 yearly, with at least two members. Every model is Anthropic's. That's a fair trade if most of what you send clients is writing, where Claude came out ahead when I tested the best AI for writing.

Notion AI: Several Companies' Models, but Drive Only Searches

Notion AI is the one option here, apart from izzedo, that gives you more than one company's models. Notion Agent defaults to Auto, where Notion picks the model, and you can pick one yourself. Notion's help lists Claude models and "the newest GPT models, Gemini, and Grok". Inside Notion it's the deepest option, because it works in your pages and databases directly.

It needs the Business plan, $24 a seat a month, or $20 billed yearly. On Free and Plus, Notion says users "get a limited number of complimentary AI responses so they can try Notion AI features out."

Gmail and Drive come with conditions. The business connectors for both need someone who is a Google admin and the Notion workspace owner, and a paid Google Workspace plan. A separate personal Gmail connector "works on any plan". With Gmail connected, Notion says the agent can "search your inbox, draft and send emails", and it asks you to confirm before it sends. The Drive connector is for finding and summarising. It "can't analyze the data inside spreadsheets", doesn't support files over 10 MB, and picks up new files "about once an hour". Notion doesn't say it can create or edit anything in Drive.

Usage runs on credits. Each Business seat gets 1,500 Standard credits a month for work where Notion picks the model and 500 Select credits for work where you pick it. By Notion's own estimate, a simple task costs 5 credits on Auto and 50 on Claude Opus. When either kind runs out, "impacted work will pause until your credits reset", unless an admin buys more at $10 per 1,000.

Notion says that by default "neither Notion nor our AI providers use your Customer Data to train any models."

Pick it if Notion is where your business runs and you're on the Business plan, or ready to be.

izzedo chat: All Three Apps, Several Companies' Models, Free to Start

izzedo chat connects Gmail, Google Drive and Notion on every plan, the free one included. They're the first apps on its Connectors screen, and each person signs in with their own Google and Notion accounts. Sign-in and tool calls go through Composio, the integration service izzedo uses, and the connect screen says so.

The izzedo chat Connectors screen in dark mode. The text reads: Connect apps with your own account so the AI can use them in your chats and projects. Their usage counts on your own accounts. Below it are four apps, each with a Connect button: Notion, Google Drive, Gmail and Google Calendar, and an Add connectors button at the top right for the rest of the catalogue.

Once connected, the AI can do most of what you'd do by hand. In Gmail it searches and reads mail, fetches attachments, drafts a reply inside the client's thread, sends it and applies labels. In Drive it finds files and folders, reads Docs and Sheets, downloads PDFs, creates a file from text, uploads, moves and shares. In Notion it searches pages and databases, creates pages, adds or updates database rows, and comments.

By default izzedo asks before every tool call, reads included, with an Allow Once and an Always Allow button. Always Allow remembers that one tool for the project or the chat. Scheduled automations are the exception. They run every enabled tool without asking, and the automation form says so.

The difference from ChatGPT and Claude is the model. One chat can run on GPT, Claude, Gemini, Grok, DeepSeek or Kimi, and you can switch on any message, with the next model reading the whole thread. Draft the client reply with Claude, then ask Gemini to check the dates against the quote in Drive before you approve the send. The free plan's models, GPT-6 Luna, Claude Haiku 5.5, Gemini 3.8 Flash, Grok 4.7, DeepSeek and others, can all use the connectors. On the $6 Hobby plan you get every other chat model as well, Claude Opus, GPT-6.1 Sol and Gemini 4 Argon among them. izzedo reaches the models through APIs, where the model companies don't train on what you send.

For a team there's the Team plan, $15 a user a month or $12 billed yearly, with shared projects, conversation sharing and roles. The same connector library has 1,400+ apps beyond these three, and the connectors guide compares how each AI company handles them.

Pick it if you want all three apps and more than one company's models without paying $20 to $25 a seat.

What It Costs a Team of Three

Option Billed monthly Billed yearly Worth knowing
Gemini in Workspace Starter $25.20, Standard $50.40 $21, $42 You pay for Workspace anyway. Drive takes Standard. Notion takes Gemini Enterprise, from $21 a seat more
ChatGPT Business $75 $60 Two seats is the usual minimum
Claude Team $75 $60 Two members minimum
Notion Business $72 $60 Includes Notion itself. 1,500 + 500 AI credits a seat each month
izzedo chat Team $45 $36 The free plan has the same three connectors

Two notes on reading that table. Gemini and Notion AI come inside products you may already pay for, so the real cost is the step up. A team of three moving from Workspace Starter to Standard pays $21 a month more on a yearly plan. A team already on Notion Plus at $12 a seat, billed monthly, pays $36 a month more for Business.

And every option here has usage limits. Notion's are the easiest to see, because work pauses when the month's credits run out. ChatGPT Business and Claude's Pro and Team plans meter use in five-hour windows. izzedo uses a five-hour window plus a weekly allowance shared across models, and a flagship like Claude Opus uses it faster. Current amounts are on izzedo's pricing page.

If it's just you, the arithmetic is simpler. ChatGPT Plus and Claude Pro are $20 a month, Notion Business is $24, the Gemini in your Workspace plan costs nothing extra for Gmail, and izzedo is free, $6 or $12.

Who Can Change What

Option Before it sends or edits Training on your data
Gemini in Workspace Help me write leaves a draft for you to send. File actions wait for your OK Not used to train models
ChatGPT Personal default "Allow low-risk actions". Sending and edits may need a confirm Plus: on unless you opt out, never Google app data. Business: off by default
Claude Asks before sending, sharing or trashing, by default Never connector data. Chats: opt out on personal plans, off on Team
Notion AI Asks before sending email Off by default, for Notion and its AI providers
izzedo chat Asks before every tool call, reads included, by default The model companies don't train on API traffic

The defaults matter more than the options, because most people never change them. If you want the AI to touch client email at all, pick one that asks before sending and leave it that way for the first month. Once you've seen what it drafts, give it more rope one tool at a time.

Which One to Pick

If most of your day is Gmail and Notion holds a few docs, use Gemini in Google Workspace, and move to Business Standard if you want it in Drive too.

If Notion runs the business, with clients, projects and processes all in databases, use Notion AI on the Business plan. Check the Google admin conditions before you count on its Gmail and Drive connectors.

If you want one company's app for the whole team and per-seat pricing is fine, Claude Team suits a team that writes a lot and wants approvals on by default. ChatGPT Business suits a team that already uses ChatGPT.

If you want all three apps, models from several companies and the smallest bill, use izzedo chat, starting on the free plan.

Whichever you shortlist, give it a real job before you pay. Forward yourself a client question that needs a file from Drive to answer, and ask the AI to draft the reply and log it in Notion. You'll learn more from that one task than from any plan grid, this post's included. For the wider question of which models suit which business tasks, the best AI for business goes function by function, and the best AI chatbot compares the free plans.

The Bottom Line

For a business on Gmail, Google Drive and Notion, every AI can search now. The differences are what it can change, which plan and which admin that takes, and whose models it runs. Gemini owns Gmail and Drive and can't reach Notion. Notion AI owns Notion and only searches Drive. ChatGPT and Claude reach all three, each with one company's models. izzedo reaches all three with models from several companies, from a free plan.

All five companies changed something in the last two months, from Notion's credit system to ChatGPT's app permissions, so check the date on anything you read about them. This post was checked on 3 November 2026.

Frequently asked questions

What is the best AI for a small business?

The one that reaches the apps your business already runs on. For a business on Gmail, Google Drive and Notion, Gemini is built into Gmail and Drive through Google Workspace but can't reach Notion. ChatGPT Plus and Claude Pro, both $20 a month, connect all three but run only their own company's models. Notion AI connects all three and offers GPT, Claude, Gemini and Grok models, on its Business plan at $20 to $24 a seat. izzedo chat connects all three on its free plan, with models from OpenAI, Anthropic, Google, xAI and DeepSeek in one chat.

Is there one AI app that works with Gmail, Google Drive and Notion?

Several. ChatGPT and Claude both connect to Gmail, Google Drive and Notion, and Notion AI can search Gmail and Drive on Notion's Business plan. If you also want models from more than one company in the same place, two of the options compared here do that. Notion AI offers GPT, Claude, Gemini and Grok models from $20 a seat. izzedo chat connects all three apps on its free plan and has ChatGPT, Claude, Gemini, Grok and DeepSeek models in the same chat.

Can ChatGPT connect to Gmail, Google Drive and Notion?

Yes. OpenAI's Gmail app summarises your inbox and drafts replies, and on Plus, Pro, Business and Enterprise it can send an email from the chat on the web once you choose to send the draft. The Google Drive app searches and reads Docs, Sheets and Slides and can create, update, move or share files. The Notion app is built by Notion and searches and reads your pages. OpenAI says it may also create or update pages, depending on your setup, and it doesn't publish which plans get each app.

Is it safe to connect ChatGPT to Gmail?

OpenAI says it doesn't train its models on data from connected Google apps, even with 'Improve the model for everyone' switched on. The exceptions are conversations you send as feedback, text you paste in and what ChatGPT includes in a reply. On personal accounts the default permission is 'Allow low-risk actions', so some actions run without a prompt, while sending an email counts as higher-risk and may need your confirmation. If you want to approve every read as well, choose 'Always ask' in ChatGPT's settings for the app.

Does Gemini work with Notion?

Not through Google Workspace. Notion isn't among the Gemini app's connected apps, and it isn't in the connectors Google lists for Gemini in Workspace. Google's Notion connector is part of Gemini Enterprise, a separate product that starts at $21 a seat a month, where it can search Notion and create or update pages.

Can Notion AI read Gmail and Google Drive?

Yes, with conditions. Notion's business connectors for Gmail and Google Drive need the Business or Enterprise plan, a paid Google Workspace plan, and a workspace owner who is also a Google admin. A personal Gmail connector works on any Notion plan. With Gmail connected, Notion Agent can draft and send email and asks you to confirm before sending. The Drive connector is for finding and summarising files: it can't analyse the data in spreadsheets and doesn't support files over 10 MB.

How much does AI cost for a small business?

For a team of three, ChatGPT Business and Claude Team each cost $75 a month billed monthly, or $60 a month billed yearly. Notion Business is $72 a month, or $60 yearly, and includes Notion itself. Gemini comes with Google Workspace: Business Starter, $7 a user on a yearly plan, includes it in Gmail, and Drive needs Business Standard at $14. izzedo chat has a free plan, and its Team plan is $15 a user a month, or $12 billed yearly.

What is the best AI assistant for a small business owner who works alone?

Skip the team plans. ChatGPT Plus and Claude Pro cost $20 a month, and both connect Gmail, Google Drive and Notion. If you pay for a Google Workspace business plan, Gemini is already in your Gmail. izzedo chat's free plan connects all three apps and includes GPT, Claude, Gemini and Grok models, and its $6 Hobby plan adds every other chat model, including Claude Opus and GPT-6.1 Sol.
